A wedding planner makes sure dozens of decisions line up in time and in budget: venue, ceremony, catering, lighting, transport, guest accommodation. In Tuscany there are also local rules, comune permits and distances between villa, hotel and airport that are hard to judge from abroad. We have worked from Florence for more than 15 years, and the team speaks English, Italian, German and Russian. You choose how much we do: full planning, help with selected parts or coordination on the day only. In every case there is one coordinator and a written estimate before preparation starts.
How we work: levels of involvement
Full planning
We run the project from the first call: concept, venue, vendors, schedule, accommodation, ceremony and the wedding day. You make the decisions and we carry them out.
Partial planning
We take only the parts you want, such as finding the venue and vendors, while you handle the rest. The boundaries are written into the estimate so nothing falls between us.
Day-of coordination
We take over a finished plan a few weeks before the date, check every agreement, run the rehearsal and manage the day minute by minute.
Venue search and selection
We build a short list for your dates, guest count and format, visit the venues and check the terms: music, hours, kitchen and the wet-weather option.
Vendors and contracts
We propose florists, photographers, musicians and caterers to match your style, compare terms and deadlines and track payments and paperwork.
Timeline and rehearsal
We write a detailed timeline for everyone involved, run a ceremony rehearsal and hand each vendor their part of the plan.

How working with a planner is organised
A single point of contact
You deal with one coordinator who knows every agreement, and vendors take their instructions from that person rather than from you.
An estimate before we start
The written estimate is fixed before preparation begins; anything outside it is agreed with you in advance.
Presence on the ground
Our office is in Florence, so we inspect venues, taste menus and meet vendors ourselves instead of working from photographs.
Work in your language
Correspondence, contracts and the schedule are prepared in the language that suits you, and we handle the negotiations with Italian vendors.
Questions about wedding planners
How far ahead should we contact a wedding planner?
The earlier the better, since venues and dates are scarcer from May to October. We also work to short deadlines: if the date is close, we first check what is free and say plainly what can realistically be done.
How does a planner differ from a venue coordinator?
A venue coordinator looks after the villa or restaurant and the owner's interests. A planner works for you: choosing the venue, negotiating with vendors and making sure the parts of the celebration fit together.
Can we plan a wedding without visiting Tuscany first?
Yes, much of the work happens over video calls and in a shared folder. We recommend one visit for the venue and the tasting, but if needed we attend them ourselves and send you a report.
What is left to us if we choose full planning?
The decisions: style, guest list, menu and choices among the options we propose. Searching, negotiating, contracts, the schedule and control on the day are ours.
How is the cost of a planner determined?
The estimate depends on the level of involvement, guest count, venue and vendors. We prepare it on request after a first conversation and fix it in writing before work starts.
