Guest transfers for events in Tuscany
We meet guests at Florence and Pisa airports, shuttle them between hotels and the venue, and send them home after the last toast.
When guests fly in from different cities and the venue sits on a hill away from the main road, logistics become a task of their own. Flights land at different times, the narrow lanes of the borghi do not take large coaches, and at night a taxi is almost impossible to call from the countryside. We compile a list of arrivals and accommodation, split guests into groups and choose vehicles of the right size. At the venue a coordinator with a sign and a list is in charge of boarding, so nobody is left waiting at the exit.
What we arrange
Pickup at Florence and Pisa airports
We meet guests in the arrivals hall, help with luggage and send them to their hotel. For different flights we form groups by time, so nobody waits long.
Shuttles between hotels and the venue
We build a timetable of runs there and back around the programme of the day: ceremony, dinner, dancing. We choose the vehicle by the number of guests and by the road.
The late-night return
We plan several departures after dinner and after the dancing, so older guests and families with children leave earlier while the others can stay.
A list of guests, flights and accommodation
We collect arrival, hotel and room data in one sheet and update it whenever a guest changes their ticket.
Transport for different groups
We arrange cars, minivans and minibuses with licensed drivers. For narrow roads we choose vehicles that can actually get through.
A coordinator on call on the day
One person follows the schedule, takes calls from drivers and guests, and rebuilds the runs if a plane is late or the programme shifts.
Tell us about your celebration
Tell us the occasion, the date and the number of guests. We will suggest a format, a venue and vendors, and prepare a fixed written estimate before any work starts.
Where we help most
We know which airport suits which guest
Florence handles fewer flights and Pisa more, and the road between them takes about an hour. We advise each guest on the airport that fits their route and the timing of your day.
We count roads, not kilometres
Narrow approaches to villas, centres closed to traffic and access limits in historic zones all change the journey time. We check the routes in advance.
One schedule for guests and programme
Shuttles are tied to the timing of the ceremony and dinner, so nobody is late for the start and nobody waits for a car after the toast.
Clear instructions for guests
Each guest receives a single message with the meeting point, the coordinator's phone number and the departure time. We write the instructions in the guest's language.
Frequently asked questions
Which airport is better for a wedding in Tuscany?
Both Florence and Pisa have international airports. The choice depends on flights and on the venue: Pisa is usually easier for Lucca and the coast, Florence for Chianti and the city itself.
Can you arrange transfers for guests who arrive on different days?
Yes. We collect arrivals in a sheet and form groups by day and by time. For a single guest it is sometimes simpler to book a separate car.
What happens if a flight is delayed?
We track the flights and warn the driver. If the delay is long, we move the pickup or put the guest in another car without changing the overall schedule.
How do guests get back to the hotel after the party?
We build in departures in several stages, for example after dinner and after the dancing. Guests know the time and the boarding point in advance and do not have to look for a taxi.
Will a large coach work for a villa on a hill?
Not always. On the narrow roads of the borghi and on private drives a large coach may not get through, so we check the route and use minibuses where needed.
