Rehearsal Dinner, Welcome Dinner and Farewell Brunch in Tuscany

Rehearsal Dinner, Welcome Dinner and Farewell Brunch in Tuscany

A destination wedding is rarely a single day. Guests fly in from different countries, some of them meet for the first time, and if that first meeting happens at the ceremony, the evening has less chance of feeling warm. That is why two more events usually appear around the main day: a welcome dinner the night before, which many American couples combine with the rehearsal dinner, and a brunch or pool day the morning after. This guide covers who to invite, how to choose the format and the place, how to avoid tiring your guests, and how these gatherings affect the wedding day itself. It is written for weddings in Tuscany, where many guests arrive for several days and want to enjoy the region, not only the ceremony.

Why the wedding needs events around it

The main job of the evening before is to introduce the two sides and ease the tension ahead of the ceremony. Once guests have exchanged a few words over dinner, they are more relaxed at the wedding and the photographs look more alive. For the couple it is also a chance to talk to everyone without rushing, which the wedding day itself rarely allows. The farewell brunch works differently. It closes the celebration gently, without hurried goodbyes, and lets those flying home that day thank the couple in person. If the programme is only the wedding day, many guests feel they travelled for a single evening. With two extra gatherings the trip becomes a small shared holiday.

The welcome dinner: who to invite

The traditional rule is simple: invite everyone who has travelled far and is staying for a few days. Close family and the witnesses are almost always there. Local guests who come only for the ceremony are usually not invited, otherwise the evening turns into a second wedding. It helps to decide where the line falls and to say so in the invitation. If you invite only those arriving from elsewhere, a neutral wording works best: dinner for guests travelling from another city or country. Children deserve their own thought. They need an early meal and space to run around, or the adults will be distracted by them all evening.

Format and venue for the night before

The most common format in Tuscany is a relaxed dinner on a villa terrace or in a garden, at one long table, with regional food and wine. It should not compete with the wedding meal: a simpler menu, looser seating and a shorter programme. Other options are a trattoria closed to your group, a tasting at a winery, or an aperitivo on a city terrace followed by dinner. Choose a place close to where guests stay, so the evening ends without a long drive. If you hold it at the wedding villa, remember that preparation for the main day will already be under way, and florists and technicians must not interfere with dinner. Music and late hours depend on venue rules and municipal permits, so ask early.

The farewell brunch or pool day

The morning after, guests are tired and leave at different times, so the format should be light and without a strict start. A brunch with fruit, pastries, eggs and local cheeses and cured meats works almost anywhere. If the villa has a pool, a day by the water lets people come when they like and leave when they must. Skip long speeches and complicated seating. Small gestures work well: a slideshow of the previous day, a group photograph, a card or a small gift from the couple. Start no earlier than late morning and leave the end open. If some guests depart early, arrange a separate breakfast for them so that nobody feels forgotten.

How these events affect the main day

The first effect is on the guests and their mood. Those who enjoyed the evening before arrive at the ceremony in good spirits. The second is on the couple: a dinner that runs late leaves the bride and groom tired, and the morning preparation slows down. End the evening at a sensible hour and let the couple leave before everyone else. The third effect is logistics. The same cars, staff and lighting supplier work for two or three days in a row, and the schedule has to hold. If the dinner takes place at the wedding venue, agree the set-up timetable with the owner in advance. For the brunch, remember that the venue needs cleaning after the wedding, so the start time depends on when staff can work.

Typical mistakes and how to avoid them

The first mistake is making the welcome dinner too similar to the wedding: the same dishes, the same guest list, a long programme. Guests get tired and arrive at the main day with no energy. The second is not telling people the format and dress code, so some come in evening dresses and others in shorts. One line in the invitation is enough. The third mistake is not planning how guests get back. Tuscany is countryside, and taxis at night take a long time. Book the shuttle in advance and match it to the schedule. The fourth is leaving no time for sleep: if the day starts early, begin dinner at dusk and finish before midnight. Finally, do not try to please everyone. Two well-planned gatherings beat five rushed ones.

What to decide in advance

  • Guest list for the dinner and for the brunch
  • Format of the evening: terrace table, trattoria or tasting
  • A venue close to where most guests are staying
  • Menu for children and for guests with dietary needs
  • Dress code and the wording of the invitation
  • Shuttle for guests, there and back
  • End time of the evening so the couple can rest
  • A brunch with no fixed start and an option for early leavers
  • Venue rules on music and late hours
